RiO: Order in Every Record, Confidence in Every Step
We specialise in managing Legacy Records—long-term documents essential for compliance (e.g., GDPR, Safeguarding, HSE) but not part of daily operations.
We reorganise, catalogue, and optimise archives, ensuring compliance and accessibility for charities, businesses, and sole traders. RIO delivers affordable, tailored solutions to streamline your records.

What I do...
Records Reorganisation
I assess and relocate Legacy Records to secure, suitable storage, addressing issues like damp cellars or scattered locations.
Working with clients—such as our small charity case study—we guide volunteers or staff to resite archives, ensuring compliance and accessibility at minimal cost.
Database Creation
RIO designs user-friendly databases and finding aids to catalogue Legacy Records, enabling quick retrieval.
For our large housing charity, I created a system to track 60-year retention records, reducing admin effort and ensuring compliance with legal requirements.
Records Evaluation
I identify and remove outdated or non-compliant materials from Legacy Records, streamlining archives.
In my electrician case study, we safely destroyed 80% of unnecessary paper records, enhancing GDPR compliance and creating a clutter-free workspace.
Digitisation Services
RIO will offer scanning and digital conversion of Legacy Records, paired with simple management systems and training.
Inspired by my electrician client’s successful digital archive, this service will make records accessible and easy to maintain.

My VISION - To collaborate with clients to reorganise, catalogue, and enhance their Legacy Records through expert advice and support.
Providing free initial consultations and bespoke services, RIO ensures compliance and delivers peace of mind, simplifying and streamlining records management with confidence and ease.

How it works
If you’re feeling uncertain about your records management, my structured approach is designed to bring clarity to your specific needs and provide a tailored plan that will help you organise your records with confidence. Please see the listed steps for getting your Records in Order
-
Book Your Consultation:
Book a 45-minute session, either in person or on Teams—there’s no need to prepare in advance. In this meeting, we'll examine how your records management system is working and point out areas where it could be enhanced. The goal is to help you gain insight into your existing practices and think about both current and future requirements.
2. Review and Recommendations:
Following your consultation, you may request a comprehensive evaluative report for a fee, which will offer tailored solutions for any issues identified during the assessment. To ensure optimal recommendations, a site visit may be necessary to supplement the consultation findings. Requesting this report is advisable, as it facilitates strategic planning regarding funding and time allocation, and provides substantiated justification for prioritisation within your organisation.
3. Support for Implementation:
I can offer practical support for implementing your records management recommendations, including updating databases, digitising documents, and selecting archiving software. I also provide team guidance and training to ensure a smooth transition. My aim is to establish sustainable practices that meet current needs and support future growth.
